Privacy Policy

FutureSite ("we") is a web-design studio, a brand of HAVI Belgium SRL, operating futuresite.be. We favour privacy by design and collect the strict minimum. The data controller is:

What we collect

• The “Request a site” form: the name, email address and project description you choose to send us.
• Files you attach: photos, logos, PDFs or any document you add to help us understand your project. We use them only for that.
• Voice notes you record: if you describe your request out loud, we receive the audio recording. We may transcribe it to text to understand your request properly. The audio and its transcript are used only to handle your project — never for advertising, never to train an AI model, and never shared with third parties for those purposes.
• Basic server logs: our host may record standard technical data (IP address, browser type) for security and operation.
• The chat assistant (Caméo): the messages you exchange with our assistant may be kept and reviewed by our team to improve the quality of our service and its answers. They are not used for advertising and not shared with third parties for that purpose. Please do not enter sensitive information.
• No advertising trackers and no third-party marketing cookies.

Legal basis

• Your consent (Art. 6(1)(a) GDPR) for the information, files and voice notes you choose to send us;
• Pre-contractual steps (Art. 6(1)(b)) to prepare your mock-up and proposal at your request;
• Our legitimate interest (Art. 6(1)(f)) in securing and operating the site, and in improving our service (including by reviewing the chat assistant’s conversations).

Why we use it

Only to read and answer your request, prepare your mock-up and proposal, and operate and secure the site. We never sell your data.

Who we share it with

Only with the providers strictly needed to run the site and our email: our host (located in the European Union) and our email provider, which act as processors and do not use your data for their own purposes. No other sharing.

How long we keep it

If you don't become a client, your request and any attached files or voice notes are deleted no later than 6 months after our last exchange. If you become a client, we keep what's needed for the project, then the data required by our legal and accounting obligations (in Belgium, accounting records are kept for up to 10 years). You can ask for earlier deletion at any time (see “Your rights”).

Security

The site is served over HTTPS; your submissions reach us encrypted. Access to your data is limited to the people handling your request, and hosting is located in the EU.

Your rights

Under the GDPR you can ask us to access your data, correct it, erase it, restrict or object to its use, obtain its portability, and withdraw your consent at any time (without retroactive effect). Write to contact@futuresite.be and we'll act promptly. You can also lodge a complaint with the Data Protection Authority (Belgium).

Cookies

We use only the cookies needed for the site to work. Any audience measurement is enabled only with your consent; no third-party advertising cookies.

We'll update this page if our practices change, and revise the date above.
